viasoft ERP: the same management system — at half the cost, with a risk-free switch

viasoft ERP is the implementation of a single business-management system (accounting, inventory, CRM, finance and HR in one database) on the ERPNext platform, localized for Azerbaijan. The key difference from 1C, Odoo and SAP: you don't pay for each user — there are no licenses, it's open-source. You pay once for the implementation, not every month for the right to use it.

That's why your own system usually costs you at least half as much as you pay now. The code is open and stays yours — you're no longer hostage to a single vendor. And we handle the switch from your current system for free: the old one keeps running in parallel, you pay only after 3 months, in stages. viasoft is the ERPNext integrator and customizer in Azerbaijan; our cybersecurity and private-AI practices run alongside it.

The problem we solve

A business usually lives in three disconnected programs: sales in one (often in messengers and spreadsheets), inventory in a second, accounting in 1C. Data is moved by hand, the owner can't see the real picture, money gets frozen in dead stock. And when you decide to put things in order, you hit a wall: 1C is convenient for the tax office but not for management; "gluing" it to a CRM and a website costs thousands of manats and keeps breaking; SAP rolls out a quote in the hundreds of thousands; and for all of this you pay monthly for every employee and stay hostage to your vendor — you put up with their bugs, downtime and price hikes, because there's nowhere to go: your data is locked inside someone else's closed system. We remove the root cause itself: one open system, the code is yours, pricing with no licenses, a switch with no risk.

Triple offer: cheaper, freer, no money at risk

Three mechanisms add up to an offer that's hard to refuse:

  • At least half the cost. With 1C, Odoo and SAP, a per-user license is baked into the monthly payment (with Odoo it's around $25 per person a month, plus paid modules). viasoft ERP has no such line item at all — that's what gets freed up. The more people you have, the bigger the gap. At a free assessment we'll add up your current bill and show the savings in manats.
  • You're no longer hostage to a vendor. The code is open, accessible and documented — any ERPNext developer in the world can continue your system, not only us. With closed 1C or SAP, leaving is impossible: your data is captive. With us you can leave any time — and that's exactly why you'll stay: not because you're locked in, but because you like it.
  • The switch is free, your money isn't at risk. We migrate the processes, the database, everything — on us. The old system runs in parallel, you can roll back. You start paying only 3 months after launch, and you can split the payment by stages — no interest.

Bottom line: you risk neither your data (the old system keeps working), nor your money (payment is deferred), nor your freedom (the code is yours).

Where you start — two doors

Your path depends on what you already have:

  • You already have a working system (1C, Odoo, someone else's software) → this is a switch: we migrate what exists, turnkey, for free, with payment after 3 months. The big fear of "we'll lose data" is removed by running the old system in parallel.
  • You have Excel, notebooks or just an idea → this is the "10% Path": from your processes we build a spec → prototype → MVP (10% of the estimate) → growth in stages. You pay to build something new that you can already see.

Which door is yours — we determine at a free assessment.

What's included

One database: CRM, sales, inventory, purchasing, manufacturing, finance, HR — all in one system, with no integrations between modules (a deal in CRM instantly becomes a warehouse order). Localization for Azerbaijan: chart of accounts in manats, ÖDV/VAT, e-qaimə (we generate the electronic invoice from the system — ready XML, signature, submission), payroll at 2026 rates (progressive tax, DSMF, mandatory health insurance), an Azerbaijani interface. Signature and cash register: we connect SİMA / Asan İmza and e-kassa integration for your project via official operators. Hosting: on our facilities in Azerbaijan (data doesn't leave the country) or on your server (on-premise). Business analytics: owner dashboards, real-time margin, forecasts — on top of one set of data.

The accountant stays in 1C — we don't break what works

The main objection to leaving 1C is "we'll have to retrain accounting." You won't. The modern management system goes to the business (sales, inventory, the manager), while the accountant, if they prefer, keeps filing reports in the familiar 1C — viasoft ERP feeds them the ready registers itself. The business works in a modern ERP, the accountant files taxes the way they're used to. More on the leave 1C page.

Why ERPNext, not Odoo (honestly about "free" Odoo)

Odoo is the best-known open-source competitor, but "free Odoo" is free only on paper: financial reports (P&L, balance sheet) and all AI features in Odoo are locked behind the paid Enterprise edition — per user. With ERPNext the full functionality, including accounting and the AI layer, is in open-source with no surcharges. That's why the claim "full functionality with no license" is honest only on ERPNext. SAP/1C — closed code and per-seat licenses. A full comparison of all the systems is in the review "Best ERP systems in Baku 2026".

AI employees in your ERP (supervised, on your data)

On top of the system you can connect AI assistants — private, on your hardware, in Azerbaijani: an AI accountant reads an invoice and suggests the posting, catches anomalies; an AI storekeeper answers "what's running out, draft a reorder"; an AI HR officer computes 2026 payroll and answers employees; an AI financier shows margin and a cash-gap forecast in natural language.

On principle: these are assistants, not autopilot — the AI prepares a draft and a prompt, but the decision is always the human's, with an action log. We don't let AI post payments autonomously and we don't promise it: in accounting, an AI mistake is irreversible. SAP and Microsoft went the other way in 2026 — their agents already make routine payments themselves; we keep the irreversible step with a human, which is where regulation is heading too (the EU AI Act requires human oversight by August 2026). What each AI employee really does and where the line is — in the article AI employees in ERP. Why this approach is safer — in the breakdowns agentic automation and AI-agent security. The engine is an open model on our facilities, as in private AI; we add the AI layer as a stage after a stable database (you can't sit agents on top of data chaos).

What it costs (a guideline, not an offer)

The exact price depends on scale and complexity — it's fixed at a free assessment. The order of magnitude:

Tier What it is Implementation
Pilot a quick start "from scratch": 1 process/module turnkey on your data from ~1,500 ₼
Small business Excel→system, 1–2 modules ≈ 3,000 – 9,000 ₼
Mid-size (leaving 1C) CRM+inventory+finance, e-qaimə, cash register ≈ 12,000 – 45,000 ₼
Large / holding multi-company, manufacturing, on-prem from ≈ 70,000 ₼, by project
Per-user licenses 0 ₼ — always

If you already have a working system — a trial migration of one process as proof, on us (the "switch" door: you pay for the system only after 3 months). The "Pilot" tier above is for starting "from scratch," when there's nothing to migrate.

The key thing about price: even a full turnkey implementation is often cheaper than what a competitor pays in licenses alone — for example, Odoo Enterprise licenses for 50 people over 3 years come to around 76,500 ₼ before implementation even starts. You pay for the system once, not for the right to use it every month. The only recurring cost is hosting (from ~50 ₼/mo) and optional support. (Exchange rate and competitor pricing — from public data; your figure — at the assessment.)

Payment model

We work on the principle "pay for the result you can see": free audit and assessment → fix the price → implement. For switching from an existing system — the switch is free, payment after 3 months, in stages, no interest. Payment in manats by bank transfer, with closing documents. We'll help you apply under the state SME digitalization program if you qualify. In detail — how we work.

Who it's for — and who it isn't

It's a fit when a business has outgrown scattered programs: several locations or warehouses, dozens of employees, records kept across several disconnected systems, a need for one picture and control. Especially for manufacturing, distribution, retail, pharmacies (shelf-life tracking).

When you honestly don't need it: if you're three people and one spreadsheet covers everything — a full ERP is overkill, and we'll tell you so outright rather than sell you something extra. At the assessment we calculate whether the system pays off in your case.

Typical scenario (illustration, not a real client)

A retail chain: sales in messengers and Excel, inventory separate, accounting in 1C, data drifts apart, a report takes hours to assemble. How we usually solve it: a free ERP audit → migrate one process (say, the warehouse) for free as proof → one database with roles (salesperson/storekeeper/accountant/director) → e-qaimə and cash register for the project → the accountant stays in 1C, receiving ready registers → a margin dashboard on the owner's phone. The old setup runs in parallel until sign-off. The goal is one source of truth instead of scattered programs, with no per-user fee.

FAQ

  • Is it really cheaper than 1C and Odoo? As a rule, yes — because we have no per-user license baked into our payments. At the assessment we'll add up your current bill and show the savings in manats. With Odoo Community, on top of that, financial reports and AI are in the paid Enterprise; with ERPNext everything is in open-source.
  • And if we're already on 1C — does the accountant retrain? No. The business moves to a modern system, while the accountant, if they prefer, stays in 1C — our system feeds them the ready registers itself.
  • What if we don't like it after the switch? The old system runs in parallel — you can roll back. You start paying only after 3 months, so your money isn't at risk.
  • Whose will the code and data be? Yours. ERPNext is open-source, the code is open and documented; any ERPNext developer can continue your system, you're not tied to us. That's what no single-vendor dependence means.
  • It's raw open-source — who supports it? The core (accounting, inventory, manufacturing) is proven by thousands of implementations worldwide. Support is local, ours, in Russian and Azerbaijani. And unlike closed 1C/SAP, anyone can support you, not just one vendor.
  • How long does implementation take? It depends on scale and is fixed at the assessment. As a guide: a pilot — a few days; a small business — 2–4 weeks; mid-size (leaving 1C, with e-qaimə and a cash register) — usually 1.5–3 months; large/holding — by project. The old system runs in parallel the whole time, so there's no downtime.
  • Will the AI accountant really do it all by itself? No — and that's on purpose. The AI prepares a draft and catches anomalies, but a human confirms the decision and the posting, with an action log. AI can't dispose of money autonomously here: in accounting, its mistake is irreversible.
  • Can we pay in manats by bank transfer? Yes — contract, invoice, act, tax invoice. We'll help you apply under the state digitalization program if you qualify.
